Relationship Assignment Task

The relationship assignment task has been updated to allow for more functionality and visibility conditions.

  2. Choose “Relationship Assignment” as your task type

Overview of Features

GENERAL

  1. Task Type
    •  The Task Type must be set to Relationship Assignment to view the following settings.
  2. Assigned Role
    • This allows you to select who this task should be assigned to.
  3. Name
    • This allows you to name your task (viewable in Motion 2 workflow list).
  4. Is Optional
    • This task is optional and will have a "Skip" button.
  5. Auto Assign
    • This task will be assigned automatically when the engagement is created or a new person is added to the engagement.
  6. Due Date
    • If the workflow has a set start or end date (based on opportunity dates or preferred length of time to complete an application) you can set reminders or statuses (due immediately, vs. “due in 10 days” etc.) based on this field.
  7. Title
    • This field will automatically fill in with the Name field but can be overwritten and is what will be shown as the task title on the dashboard.
  8. Description
    • Here you can enter a description of the purpose of your task and/or other entity or HTML information you prefer (links to dashboards, profiles, etc.).
  9. Completed Redirect
    • You can redirect someone to a specific site page based on the completion of this task.
    • Often used on kickoff forms to redirect to a thank you page etc.

TASK BUTTONS

  1. Complete Button
    • This button allows the task to be completed and stored in the appropriate CRM record entities.
    • You can rename this button and/or hide it.
  2. Cancel Button
    • If the task type is Form - form data will be saved temporarily and the user will be redirected to the dashboards without marking the task as completed.
    • If the task type is not Form - the user will be redirected to the dashboard without marking the task as completed.
  3. Skip
    • Can be used by users to mark a task as completed without actually completing the task.

SETTINGS

  1. Relationship
    • This allows you to add any relationships that you have created in the CRM component in the configuration tab.
  2. Primary Role
    • This allows you to select all the primary roles that this relationship should be applied to.
    • Oftentimes if you create an “Admin is” and “Admin for” relationship, the “is” relationship is chosen here.
  3. Secondary Role
    • This allows you to select the single role you want to create a relationship with.
    • Admin is [Secondary Role].
  4. Users
    • This allows you to select specific user(s) to create a relationship with.

RENDER OPTIONS

  1. Render As *NEW*
    • Radio/Checkbox Group
      • This allows you to display your list in the radio button (single role assignment) or a checkbox group (multiple roles) based on the next setting.
    • Select/MultiSelect
      • This allows you to display your list as a data group, (drop-down menu) as a single-select, or multi-select option based on the next setting.
  2. Multiple
    • You can enable multiple user selections by checking this box.
  3. Group Options By *NEW*
    • Allows you to select an entity value to group role selection by:
      • For instance, if your organization has regional directors, as long as each director’s record had their region saved in an entity you could display and sort by those regions. See Example below:
      • Alabama
        • John Doe
        • Jack Doe
      • Alaska
        • Jill Doe
        • Sue Doe
  4. Missing Group Value *NEW*
    • If a CRM record does not have a saved value in the entity chosen in the previous Group Options By section, this field allows you to group them by any unique value you choose. Examples: Other, N/A, No Group.
  5. Collapsible Groups *NEW*
    • This option allows you to toggle between a static list or collapsible list based on the Group Options.
  6. Option Template *NEW*
  • This feature allows you to choose your own naming convention based on variables (Note: Variables can be found on the right sidebar once this option is selected).
  • For instance, if you selected something like {person.fullname} works in {entities.YourGroupEntity} it would render as: “John Doe works in Alabama”.
