The Reports component provides a comprehensive and efficient method of viewing department-specific, or otherwise categorized, reports, securely and in a single location. It allows you to permission specific lists of reports so that the correct people have access to these at all times, easing the task of information gathering.
The Reports component is located within the Admin portal. Users with the correct permissions can access this component and choose a report to view from the dropdown list available to them.
In order to take advantage of the flexibility and security of the Reports component, system configurations need to be made in three places.
1. The Admin Reporting Tool
Within the Admin Reporting Tool, each report now has an option to be tagged with a specific label. Right-click on the title of a report, and select the Tags option.
From the Tags dropdown, you may label that report with an existing tag by checking the tag, add a new tag, or manage all of the existing tags at once. In the Manage Tags window, you can create/delete tags, rename tags, and view how many reports currently use that tag.
You can use these tags to categorize the reports - For example, by which department should use this report. Only tagged reports will be pulled into the Reports component.
2. Users Component
Once you have your desired reports tagged, you will navigate to the Users component, and to the Groups tab. Here is where you will specify which usergroups will have access to which report tags. For example, if you tagged reports with the “Finance Team Reports” tag to specify that only the Finance team should have access to these reports, you would then give the Finance usergroup access to these reports.
Navigate to the usergroup you want to give permissions to, and find the Report Tags option in the group permissions list. This is where you will specify which tags the Finance team should access. For example, the “Finance Team Reports” tag.
3. Reports Component
Once the appropriate tag permissions have been given to the correct User Groups, that group will have access to the Reports component and to the reports specified by their tag permissions. In the Reports component itself, the user can choose any of the tagged reports from the dropdown list to quickly load the report, filter it, and export it as needed. This one-stop-shop allows the user to navigate their business intelligence tools quickly, and in the same environment as their other daily operations.
